Accessing the Vibe Advanced Room Parameters

To access the advanced room parameters, access a customer account and find the Manage Rooms tab. On the rooms listed, click on the wrench icon as shown below:

Parameter List

Vibe meeting rooms have a number of parameters that allow you to customize the experience of the participants.  Below you’ll find a list of the parameters available for room customization. 

Meeting ID is assigned by Vibe when the room is created.  This number is used by participants to specify the meeting room to join. 

Room Name is a text string that is embedded in the title bar of the room for identification. So whatever you want participants to see as your room identity specify that here.  

Description is another text field to describe the room for administrative purposes. This field is only seen here in the administrative interface.

Duration the length of time in hours that you want your room to be available from the time it was created.  You may adjust the time after a room is created to shorten or extend the room’s availability, but once it reaches zero, the meeting is over  

Enter a Moderator PIN as an alphanumeric password to become a moderator.  The moderator’s role includes the ability to:  

  • Mute a participant's camera or mic.
  • Record the Meeting
  • Utilize the call out function from the client to an H.323 or SIP number to have them join the meeting.  Only one outbound call is allowed per moderator  
  • Promote a participant to a moderator
  • Promote a participant to a presenter role in Plenary meetings.
  • Kick a participant out of the meeting  

Access PIN is an alphanumeric value that participants are required to enter to join a meeting.    

Maximum Participants is the maximum number of participants who will be allowed to join a room.  Anyone who tries to join above the limit set, will not be allowed in. 

Type of Meeting determines the meeting structure and the hand raising option.

  • Round Table does not include hand raising nor audience/presenter hierarchy. Round table meeting includes equal functionality for all participants.
  • Plenary includes hand raising icon in the toolbar as part of the meeting structure that includes audience/presenter hierarchy. Only the presenters have Mic, Video and Desktop Share functionality. All other participants are part of the audience and use the toolbar hand icon to gain the attention of a moderator who may promote an audience member to presenter at which time the Mic, Video and Desktop Share functionality become active.

Video Quality specifies the video quality Low, Standard, High, 720p and 1080p.  The better the quality the more system bandwidth is required for each user.

Allow Recording provides an option for moderators to record the meeting. 

Allow H.323 and SIP determines whether these connections are allowed for the meeting.

  • Disabled - Both Inbound and Outbound are not allowed
  • Inbound - Only Inbound H.323 and SIP are allowed
  • Outbound - Only Outbound H.323 and SIP are allowed
  • Enable - Both Inbound and Outbound are allowed  

Phone Calls In enables participants to join via a phone number when integrated with an IPPBX. 

Video Camera Settings determines all participants’ use of video with the following settings:

  • Single Camera - allows only a single camera to be configured by each participant.
  • Single Cameras with Video Controls - allows participants to adjust their own camera settings frame Rate, Bandwidth and Resolution.
  • Multiple Cameras - allows multiple cameras to be configured by each participant.
  • Multiple Cameras with Video Controls - allows participants to adjust their own camera settings frame Rate, Bandwidth and Resolution of each camera’s video stream.

Audio Settings determines all participants’ use of the Audio Microphone in the meeting.

  • Disable - The Mic is removed from the participant’s toolbar and turned off for the duration of the meeting.
  • Mute - Enables the Mic icon and functionality for participants.  
    • For plenary, mutes a participant’s Mic when promoted to presenter.  A participant can change it once promoted.  
    • For Round Table meeting, user preferences have priority over the mute function.
  • Unmute - Enables the Mic icon and functionality for participants.  
    • For plenary, unmutes a participant’s Mic when promoted to presenter.  A participant can change it once promoted.  
    • For Round Table meeting, user preferences have priority over the unmute function.
  • Force Mute - disables all participants Mics upon entering the meeting regardless of the client preference selection. A participant can change it once in the room.
  • Force Unmute - enables all participants Mics upon entering the meeting regardless of the client preference selection. A participant can change it once in the room.  

Video Settings determines all participants’ use of Video in the meeting

  • Disable - The Video icon is removed from the participant’s toolbar and turned off for the duration of the meeting.
  • Mute - Enables the Video icon and functionality for participants.  
    • For plenary, mutes a participant’s Video when promoted to presenter.  A participant can change it once promoted.  
    • For Round Table meeting, user preferences have priority over the mute function.
  • Unmute - Enables the Video icon and functionality for participants.  
    • For plenary, unmutes a participant’s Video when promoted to presenter.  A participant can change it once promoted.  
    • For Round Table meeting, user preferences have priority over the unmute function.
  • Force Mute - disables all participants Video upon entering the meeting regardless of the client preference selection. A participant can change it once in the room.
  • Force Unmute - enables all participants Video upon entering the meeting regardless of the client preference selection. A participant can change it once in the room.  

Chat Settings determines if chat is allowed in the meeting.

  • Disabled - for all participants
  • Enabled - for all participants. 

Desktop Sharing determines if desk sharing is allowed in the meeting.  For a Plenary meeting, you also have to be a presenter to have desk sharing available.  

  • Disabled - for all participants
  • Enabled - for all participants. 

Room Alias is manager specified text string used to define a room as an alternative to the system assigned room number.

Meeting Background Image determines the image displayed as the background in the room. 

Modifying Room Parameters 

A Vibe Room is defined by the parameters specified at room creation either selected by the administrator or the defaults on the system.  These room parameters may be changed as desired to allow the same Room ID to be customized for different uses day to day.  The three categories below determine when the various parameter changes will take effect on the system.
